Hi All,

The MI-SPI retention allocation process is complete. Attached is a spreadsheet which shows the final allocated retention counts for each library. The final count of allocated retentions was 433,425 or 17.6% of all title-holdings. This translates into 454,392 items marked for retention.

Also shown is a table comparing the target allocation counts per library and per scenario with the final allocation counts. As a reminder, the allocation process aims for but can never exactly hit the allocation targets. The variance from the target count per library ranged from a low of 0.1% to a high of 3.9%. Overall, we allocated 1.6% fewer titles than we originally saw in the model builder. This is explained by the presence of a small number of "mixed multivolume sets." Some of you may remember these from last time. These are problematic titles where multiple libraries hold non-equivalent portions of a multivolume set. Because these cannot be considered equivalent to one another our policy is not to allocate them.

Our next step is to re-load your data sets in GreenGlass with the allocated retention flag and enable new features in GreenGlass that make use of this retention information. We expect this process to be complete by Friday. Because we are using some of these features for the first time on a live data-set, we will need to do extra testing to make sure everything is working correctly.

In the meantime, I know some libraries are anxious to to get going. Before the GreenGlass loads are complete you can get ready by working with me to schedule a GreenGlass webinar for your library. Let me know what times would work for you and your staff. Also you can send me the names and e-mail addresses of any additional staff you want me to add user IDs for. Note: if the number of users is more than a few let me know and I can send you an Excel form for entering this information.

Please let me know if you have any questions!

Best Regards,

Andy
