[Mcls-print-storage] SCS follow-up items from today's session

Hello all,

 

First, thanks for a very productive two hours this morning. Ruth, Andy and I
were very pleased with the questions, the discussion, and the decisiveness
shown by the group. This message is simply to document what was agreed and
what SCS will deliver when.

 

1.       SCS will provide the group with updated numbers next week. Those
numbers will reflect:

 

a.       The decision to retain 2 copies rather than 3 for those items that
have circulated 3 or fewer times since 1999 and which were acquired before
2005. The total number of withdrawal candidates based on these criteria will
be approximately 750,000, after adjustment to assure that two copies are
retained.

 

b.      The number of titles that meet these criteria for each library
(Potential Withdrawals).

 

2.       Allocation of withdrawal candidates across the seven MCLS libraries
will be modeled in two ways:

 

a.       In proportion to the size of the potential candidate totals

 

b.      In proportion to the size of the library's monographs collection

 

3.       MCLS will review these allocations, discuss among themselves and
decide what adjustments are needed to assure that libraries with the most
pressing need for space can achieve their targets. In preparation for this,
each library will decide its own target for withdrawals. The pilot group
will meet on January 12th to finalize decisions and report those to SCS. 

 

4.       Based on those allocations, SCS will produce picklists for each
library, using a method still to be devised. Picklists will be delivered to
all MCLS libraries by the end of February 2012. These picklists will total
750,000 titles.

 

5.       In a separate project in December, SCS will produce withdrawal
candidate lists for all 7 libraries for a subset of their uniquely-held
titles. Candidate lists will include titles with zero circulations and
either more than 50 US holdings OR presence in HathiTrust. These 'bonus'
lists (i.e., not included in the agreed deliverables) will indicate which
factors apply to each title. Individual libraries will act on these as they
choose. 

 

6.       Prior to generating any lists, SCS will perform agreed rework to
remove special collections locations as needed for two libraries. A small
amount of additional work will be done as agreed with specific
libraries-those communications will take place directly with the affected
library and will not affect overall results.

 

7.       If other Michigan libraries have interest in participating, SCS can
contract individually with them but also use the MCLS data to provide
information and context for their weeding decisions. This will be used as a
bridge strategy until such time as the full data environment is rebuilt at
the onset of another round of deselection activity.
